About the Role

FMG is seeking an Executive Assistant to support the team of C-level executives and manage a diverse set of responsibilities. The ideal candidate is organized, proactive, and able to manage multiple details to ensure smooth administrative operations for the Executive team. 

This role requires exceptional organizational skills, discretion, proactivity, and the ability to handle confidential information with integrity. This role reports to the VP of People and is a member of the People Team, but directly supports all C-team members. 

Compensation This position offers $60,000-$65,000 per year; depending on experience and qualifications.

Primary Responsibilities & Expectations

  • C-Team Support: Supports the Executive leadership team through a variety of responsibilities, including:
    • Calendar Management: Strategically manage and organize multiple extremely complex and demanding calendars across various time zones, anticipating conflicts and prioritizing meetings based on business objectives.
    • Travel Management: Assist in booking and coordinating executive travel.
    • Expense Reporting: Prepare and submit accurate, timely expense reports that comply with company policies and support budget tracking.
    • Executive Communications: Liaise professionally with top industry leaders, including the Board of Directors (and their admins) and other contacts on a daily basis. 
    • Discretion: Maintain confidentiality and discretion in all aspects of the position.
    • Additional Duties: Fulfill any ad hoc requests from each executive member and administrative support tasks as assigned.
  • Event Planning: Plan and successfully coordinate various events throughout the year, ranging from seven to 35+ executives. 
    • Executive Off-sites: Execute two to three executive off-sites annually, including hotel blocks, meeting space coordination, food management, and travel. Manage event dollars effectively to provide the best experiences for the executives within the set budget.
    • C-Team Meetings: Coordinate in-person C-team meetings several times a year. 
    • Board Coordination: Partner with Board of Directors admins to coordinate board dinners, hotel rooms, and meeting prep. 
    • Ad-Hoc Meetings: Secure meeting space and hotel rooms for ad hoc executive meetings.
  • Office Liaison: Serve as the primary point of contact and liaison among Executives, employees, clients, the Board of Directors, and external partners.
  • Additional Support: Support the People Team through a variety of responsibilities, including:
    • Support Company-wide Event Coordination, including company-wide meetings, activities, and recognition events.
    • Provide employee recognition, sympathy, and congratulatory communication.
    • Become the company’s Subject Matter Expert on the Travel Management Platform and be able to answer employee questions and find support as needed. 
  • Accessible during the assigned work schedule for regular duties and responsibilities as outlined by the supervisor
  • An internet connection with speeds of 5 Megabits down / 3 Megabits up (5mbps/3mbps)
  • Access to a private & secure workspace, free from distractions

Skills and Qualifications

  • 3+ years of experience supporting a C-Level Executive (e.g., CEO, COO, CFO).
  • Advanced proficiency in Google Workspace (Gmail, Google Drive, Sheets, Presentations, Docs, etc). 
  • Soft Skills: Discretion & Confidentiality, Proactivity (anticipating needs), Exceptional Organizational and Time Management Skills, Excellent Written & Verbal Communication, Problem-Solving, and Adaptability.
